You can change the settings that determine who can view your mailing list information or who can subscribe at any time.

  1. Log in to the University of Chicago Mailing Lists website.
  2. Select your mailing list from the left navigation bar.
  3. In the left navigation bar, click Admin > Edit List Config > Privileges.
  4. Select the options you want from the drop-down lists on the page. You can set who can subscribe or unsubscribe, who can view email list information, and who review members.
  5. Click Update at the bottom of the page to save your modifications.

Who can view list information: This field indicates who can view information about the list.
For anyoneAnyone will be able to view list information
Restricted to subscribersOnly subscribers will be able to view list information
Who can subscribe to the list: This field indicates who can subscribe to an email list, and under what circumstances.
Subscription request confirmedAnyone can subscribe to your mailing list, and subscribers receive a confirmation email upon subscription to the list.
Need authentication (notification is sent to owners)Anyone can subscribe to your mailing list, and both subscribers and the list owner(s) receive a confirmation email upon subscription to the list.
Requires authentication then owner approvalA list owner or moderator must approve each subscription request.
Subscribe is impossibleNo one may subscribe to your mailing list.
For anyone without authenticationAnyone may subscribe to your mailing list, and the list owner does not receive notification.

Who can invite people: This field limits who can issue the INVITE command via email.
You can interact with the University of Chicago Mailing Lists system by sending an email to sympa@lists.uchicago.edu with the command in the Subject line or in the body of the message. The INVITE command invites the user to subscribe to the list.
ClosedNo one may send an invitation to join your mailing list.
Restricted to subscribersOnly mailing list subscribers may send an invitation to join your mailing list.
Invite perform by list owner do not need authenticationInvitees are automatically approved when they are invited by a mailing list owner.

Who can review subscribers: This field indicates who can view the list's subscribers.

Shared documents: This field indicates who may view and edit shared documents for your mailing list.

Who can view: This field indicates who may view shared documents for your mailing list.
Restricted to subscribersOnly subscribers, list owners, and moderators may view the shared documents page for your mailing list.

Who can edit: This field indicates who can edit the shared documents for your mailing list.
Restricted to list ownersOnly list owners may upload, delete, and create documents or folders on the shared documents page for your email list.
Moderated for subscribersSubscribers may upload documents, after the moderator approves the upload. Subscribers cannot edit or delete documents created by the list owner. List owners still have full editing privileges, and non-subscribers cannot edit at all.
Restricted to subscribersSubscribers may upload and create files without moderator approval. Subscribers cannot edit or delete documents created by the list owner. List owners still have full editing privileges, and non-subscribers cannot edit at all.
Restricted to subscribers authenticated with user certOnly subscribers who provide a S/MIME certificate may upload and create files without approval.
Public documentsAnyone may upload documents to the shared documents page for your mailing list. However, non-subscribers can only edit their own documents. Also, users must be logged into the Mailing Lists website to edit documents. Users who are not logged into Mailing Lists may only view shared documents.

Modify Permission to Send or Receive Mailing List Messages

To modify message sending and receiving permissions for your mailing list:

  1. Log in to your account at University of Chicago Mailing Lists.
  2. Select your mailing list from the left navigation bar, then click Admin > Edit List Config > Sending/receiving setup.
  3. In the Who can send message field, select a moderation option from the drop-down list. The drop-down options are defined in Sending/Receiving Settings Definitions.
  4. Click Update at the bottom of the page to save your modifications.

I want to require moderator approval for messages only for specific people. Can I do this?

No. When you enable moderation for messages sent to your email list, all messages require approval before they post to the mailing list.

Can I have attachments sent to me through my mailing list without a "wait for approval" message going out to the sender and without having to approve each one?

Yes. The new interface does not place size restrictions on email attachments. However, we recommend that you avoid sending attachments by email. You can upload and share documents by visiting Box at UChicago Box.

I will be using my mailing list to send email to a large group of people. I do not want their responses to go to the whole group. How do I prevent this?

You may stipulate that all postings require administrative approval.

How can I allow a specific non-subscriber address to send messages to my restricted-to-subscribers email list?

To allow a specific list of non-subscribers to send messages to your mailing list, subscribe them to the list and set their preference to nomail.

Who can send messages: This field indicates who can send messages to your mailing list.
ClosedNo one may send a message to your mailing list. Any messages sent will be rejected.
Restricted to subscribersOnly subscribers, list owners, and moderators may send messages to your mailing list. The list will automatically reject messages from others.
ModeratedAny messages sent to your mailing list require moderator approval, except for messages from moderators. Moderators receive email notifications when messages are awaiting approval.
Moderated, even for moderatorsAll messages sent to your mailing list require moderator approval, including messages from moderators. Moderators receive email notifications when messages are awaiting approval.
Moderated, with editor confirmationAll messages sent to the mailing list require moderator approval, except for messages sent by moderators. Restricted to local domain and subscribersOnly subscribers, list owners, moderators, and people on the local network may send messages to your mailing list. The list will automatically reject messages from others.

Digest Frequency: This field controls the frequency of digest emails for your mailing list. Since only one hour and minute can be selected, the maximum frequency that digest emails can be sent to the list is once per day.
DaysIndicates which days the list sends digest emails.
HourIndicates which hour of the day the list sends digest emails This is in military time (for example, 1 p.m. is 13).
MinuteIndicates which minute of the hour the list sends digest emails.

Digest maximum number of messages: This field controls the maximum number of messages sent in a digest.

Available subscription options: This field controls the subscription options available to subscribers. To select multiple options, hold down the Ctrl key (if using a Windows PC) or the Command key (⌘ if using a Mac).

Reply address Value: This field indicates what email address will display in the Reply-to field of messages. We recommend that all lists be set to the default setting of sender to reduce confusion.
SenderUse this setting if you want the sender's email address to display.

ListUse this setting if you want the list's email address to display.
Other_emailUse this setting if you want to designate a different email address to display. If you select this option, you'll need to designate the email address in the other email address field.

Subject tagging: This field is used to include a topic, such as the list name, in the subject line of every email message sent through your mailing list. The topic will display in brackets.
