AURA-Grants Reporting

AURA-Grants reporting is available to authorized divisional, departmental and central administrative users through a data warehouse system. The AURA Data Warehouse provides access to reports containing data from the University's research administration system, AURA, using the Business Objects tool. Authorized users can run pre-built report packages that allow them to enter specific date ranges along with organizational unit and other dimensions to constrain the results to their needs. The report packages support simple navigation through related result sets such as summary to detail, as well as context and help information. Users are authorized to see only data within their area of responsibility. Advanced users may request analyst level access in order to edit existing queries or build their own using the Business Objects universes.

Responsibility and Confidentiality

The AURA-Grants data warehouse contains confidential and sensitive University data. In order to use its data, you must have proper authorization. Your authorization means that you have the authority to use the data and the responsibility to share stewardship of the data with the other users of the collection.

Once authorized, you can access the data that you need to do your job. All authorized users are cautioned, however, that they are entrusted to use the data they retrieve from the AURA-Grants data warehouse with care. Confidential data should not be released to others except for those with a "legitimate need to know."

Alert: Please remember that you should never share Business Objects Documents with other users with the data intact. Send the query without the data.

Querying Data with Security Restrictions

If you execute a query requesting data that you are not authorized to access, you may get results incomplete results because the data you are not allowed to access will be missing.

Note: If your authorization is limited to a specific set of data, be sure when querying the data that you include conditions that let you enter your security restriction(s). For example, if you are authorized to access just data for a particular department, add the predefined condition for Dept No so you can enter your department number when the data provider is refreshed. This will document why the query gets the results it does, and will also help your query run faster. Be sure to show the query parameters in your headers.

Load and Maintenance Schedule

As of April 16, 2012, the AURA-IRB data warehouse is available to Business Objects users 24/7 with a ten-minute nightly outage window at midnight for routine Business Objects backup. Periodic system work and other database maintenance activities are typically scheduled to occur outside regular business hours of 8:30 AM to 5:00 PM, Monday to Friday.

Data from the AURA-IRB module will be updated nightly; data from the previous night's update is available by 6:00 AM. Users are notified by email to if a nightly update fails.

Note: System problems or other delays in maintenance activities could result in unanticipated outages beyond the published schedule.

Conversion and Data Refresh

The AURA-IRB reporting system is built on a data warehouse that is refreshed nightly with data from the AURA-IRB module. The AURA-IRB module contains data that was converted from earlier IRB systems; limited data is stored for reporting related to these studies, including their legacy activity history.
