Web Conferencing - WebEx Updates

This article explains a number of new features being added to the University's WebEx service.

New Features Include

  • Expanding to 78 Global Dialing numbers for international conferencing,
  • A new version of the WebEx software that introduces some new features and a new Outlook Calendar integration.
  • SSO, which means you can use your standard CNetID and password to log in and don't have to remember a separate login.
  • US Toll-Free number allowing audio-only calls without the need for the host to be present.

Global Dial-in Numbers
78 countries have been added to the WebEx global dial-in list.

This change will impact the following WebEx sites:

Note: We recommend you use a landline when dialing international numbers, and not your mobile device.
New U.S. Toll Free Number
There is a new U.S. toll & toll free dial-in number.
The new U.S. toll-free number is 866-282-7366
The new U.S. toll number is 210-606-9466
This change will impact the following WebEx sites:
Any meetings you've set using the older toll or toll-free numbers will need to be recreated as the dial-in number has changed. We regret the inconvenience this will bring to some but the changes allow us to improve the service.

Your current PCN access codes have not changed.

WebEx Site Software
WebEx site is running on the T30 platform.

The site upgrade includes the below features:
  • Improved chat and recording notifications
  • Consolidation of controls on participant list within a WebEx meeting
  • Improved accessibility in video and polling panels
  • Chat notification shows up if the chat panel is closed or collapsed
  • Self Preview shows up in the video pop up
    Disable video pop up for future meetings

Additional features will be noted pending further testing.

This change will impact the following WebEx sites:
There's nothing you'll specifically need to do. You will likely see some user interface changes as new features are added, but this change will be largely transparent.

NOTE: The following OS are no longer allowed to access nor supported in WebEx services
  • Windows XP
  • Windows Server 2003
  • Mac OS X 10.6
Windows 10 not officially supported in WBS30.
Productivity Tool Update
In conjunction with the site upgrade you will receive the new Outlook Productivity Tool.
The new Productivity Tool supports Microsoft Outlook 2016.
This change will impact the following WebEx sites:
If you have any previously scheduled or reoccurring meetings you will need to delete those meetings and reschedule them.

Getting the Update:
If you are supported by ITS, the new Productivity Tool will be pushed to your computer.

If you are not supported by ITS you will need to uninstall your current version of the Productivity Tool and reinstall the new productivity tool.

Update your WebEx Settings:
  • If you are a user who is moving from one WebEx site to another (e.g. to you will have to update your site URL.

Single Sign-On (Shibboleth)
The WebEx sites will now use Shibboleth to authenticate users.You will now be able to visit your WebEx site and login using your CNetID and password.

This upgrade applies to the following sites:

Log into your WebEx site using your CNetID and password.

Note: If you’ve been using a single-user account as a logon for multiple people, you may need to ask IT Services for a new group-based account. Contact
Audio-Only Personal Conference Number (participants can enter the meeting using one access code)
Your attendees can now join an audio-only call using your Personal Conference Number (PCN) without the host being present. All participants, including the host will be able to enter the attendee access code to enter the meeting. This change will impact the following WebEx sites:
