Integrated Voicemail Private (Distribution) Lists Quick Tips

This article offers quick tips on how to manage Integrated (Cisco Unity Connection) Voicemail Private Lists.

Private Lists can be managed through the telephone or through the Cisco Portal/Personal Communications Assistant (PCA) tool. If assistance is needed when creating your Private List, contact the Service Desk by phone at 2-5800 (773-702-5800), via email at itservices@uchicago.edu, or at the TECHB@R on the first floor of Regenstein Library during reference desk hours.

Please be prepared to describe the nature of your request including lists of extensions to be added to a private list.

Create a Private (Distribution) List

Via the Telephone

To create a private list, access your voicemail box.

  • [4] Setup Options from the Main Menu
  • [2] for Message Settings
  • [4] to manage Private Lists [2] to Change the Names on a Private List
  • Type the number (1-25) for the list you wish to create and listen for “Private List <number>”. Follow the prompts to add names to the list.
    • Enter the 5-digit extension of the mailbox subscriber you want to add to the list, then [#].
    • If the name you hear is correct, press [#] to add it to the list.
    • Press [*] when you are done adding names.
    • At this time, you may choose option [3] to re-record the name of the list. Follow the prompts to record a name for the list.

Via the Portal

To create a private list, access Cisco Portal/PCA.

  • Select Go to My Voicemail from the Call Manager interface.
  • Using your CNetID or UCHAD ID, log into the Personal Communications Assistant.
  • At the Applications screen, select the Messaging Assistant link.
  • From the Messaging Assistant Menu Bar, select New Private Lists from the Private Lists drop-down menu.
  • Select a new Name for the list or use the default name.
  • Recording the new list name from the web interface is optional. (If recording is selected here, it can be done in conjunction with your telephone and the web Media Master only if it has been configured by the system administrator. If so, when the Record option is selected from the Media Master, the system rings your telephone. Be prepared to immediately record the new list name when you answer.) Alternatively, the list name can be recorded through the telephone. See Change the Recorded Name of a Private List.
  • Select Add Members.
  • From the Find Names dialog box, select the Users tab.
  • From the Search Criteria drop-down, select Device to find users by extension or search for first or last name. Then select Find.
  • From the Search Results, check the box of the user to be added to the Private List and then select Add Members.
  • Continue to add members as required. Then close the Find Names dialog box.
  • Select Save.

Change the Members of a Private (Distribution) List

Modifying a private list allows you to add to or delete mailbox subscriber numbers from a private list without recreating the whole list.

Via the Telephone

To modify a private list, access your voicemail box.

  • [4] Setup Options from the Main Menu
  • [2] for Message Settings
  • [4] to manage Private Lists
  • [2] to Change the Names on a Private List
  • Enter the private list number, then [#].
    • [1] to add a name
      • Enter the 5-digit extension of the mailbox subscriber you want to add to the list, then [#].
      • If the name you hear is correct, press [#] to add it to the list.
      • Press [*] when you are done adding names.
    • [2] to review and/or delete a member
      • [3] to delete the name press and [1] to confirm
      • [9] to skip to the next name
      • [7] to hear the previous name press
      • [*] to exit when you are done

Via the Portal

To modify a private list, access Cisco Portal/PCA.

  • Select Go to My Voicemail from the Call Manager interface.
  • Using your CNetID or UCHAD ID, log into the Personal Communications Assistant.
  • At the Applications screen, select the Messaging Assistant link.
  • From the Messaging Assistant Menu Bar, select View Private Lists from the Private Lists drop-down menu.
  • Select the Private List you want to modify by clicking the List link in the Private List column.
  • Remove member(s).
    • Check the member(s) name from the Private List Member table.
    • Click the Delete Selected icon.
  • For new members, select Add Members.
    • From the Find Names dialog box, select the Users tab.
    • From the Search Criteria drop-down, select Device to find users by extension or search for first or last name. Then select Find.
    • From the Search Results, check the box of the user to be added to the Private List and then select Add Members.
    • Continue to add members as required. Then close the Find Names dialog box.
  • Select Save.

Delete a Private (Distribution) List.

You cannot delete a private list by phone.

Via the Portal

To delete a private list, access Cisco Portal/PCA.

  • Select Go to My Voicemail from the Call Manager interface.
  • Using your CNetID or UCHAD ID, log into the Personal Communications Assistant.
  • At the Applications screen, select the Messaging Assistant link.
  • From the Messaging Assistant Menu Bar, select View Private Lists from the Private Lists drop-down menu.
  • From the Private List, select the list you want to delete.
  • Select the Delete Selected Rows icon.

Hear a Private (Distribution) List

Via the Telephone

Reviewing a private list allows you to hear what mailbox numbers are already attached to a private list. To review a private list, access your voicemail box.

  • [4] Setup Options from the Main Menu
  • [2] for Message Settings
  • [4] to manage Private Lists
  • [1] to Hear Private Lists

Change the Recorded Name of a Private (Distribution) List

Via the Telephone

Each private list has a recorded name to confirm that you have addressed messages to the correct list. To change the recorded name of a private list, access your voicemail box.

  • [4] Setup Options from the Main Menu
  • [2] for Message Settings
  • [4] to manage Private Lists
  • [2] to Change the Names on a Private List
  • Enter the private list number, then [#].
    • [3] to re-record the name of the list
    • Follow the prompts to change the name of your list. If the list you choose does not already have members, you must add them before you can record a name for the list
