Beginning with the fiscal year 2014 budget cycle, each unit must submit salary information for each individual in their respective units in the Delphi system.

The data entry for salaries is entered in the UCSAL Delphi Planning application.

Once all individual salary data is entered in UCSAL, the information is transferred to the UCBUD Delphi application and and rolled up with the other unit budget items.

You may enter data via the web interface, Smart View planning forms, or Smart View ad hoc templates, which you can customize for people who do not have access to the Delphi system.

Enter Data via the Web Interface

  1. Update a record or enter a new record on the first tab containing annual salary information.
  2. The second tab is a monthly view that where you may enter the salary data. If necessary, you may clear any existing data to apply an even spread; otherwise, the spread will be proportional.
  3. You may also enter data at the Quarter tab.
  4. Delphi calculates the data spread and rolls up appropriately according to where you entered it.
  5. Click the Save or Submit data button on the tab. Delphi calculates fringe, and refreshes the screen automatically to show the recalculation.

Enter Data via Smart View (Excel)

In Smart View templates, you must enter data at the month level. The template design is very important because all members of the data intersection must be bottom level members. If they are not, system calculations will overwrite higher-level members without lower level data, and the system will not save the data you entered.

  1. The Smart View user enters numbers into a Smart View Excel spreadsheet and saves it.
  2. The Smart View user sends the spreadsheet file back to a user with Delphi access to load it the data into Delphi.
  3. The Delphi system user opens the file, connects to Delphi UCSAL, and clicks Submit Data. Do not click Refresh or Ad hoc Analysis, as this triggers a refresh and overwrites the data in the spreadsheet before sending to Delphi.
  4. If the Smart View user entered all data at the right levels, the data uploads to Delphi. The new data may appear in a different color depending on system settings.
  5. Test to see if the data loaded. Clear a few cells and click the refresh button. If the numbers loaded, they will appear on the screen.
  6. To calculate fringe, use either the web or Smart View Planning form to force the fringe calculation.

Transfer Your Data

After you submit your data to UCSAL, you must transfer it to UCBUD:

  1. In UCSAL, select Forms > Unit Forms > Business Rules.
  2. In the Content pane, click the form named Transfer Budget Data to UCBUD.
  3. Confirm that the page bar and page selector are set for your unit.
  4. Confirm the page selector is also set to the draft you want to transfer: Draft 1.
  5. Scroll down the form to review the data.
  6. Click the Save
  7. If you forget, Delphi automatically transfers the UCSAL data to UCBUD on a nightly basis during the budget process.

Note: The transfer from UCSAL to UCBUD may take several minutes; this varies depending on the size of your data selection.
