This article explains how to cancel a meeting in Outlook 2011 for Mac if you are the meeting organizer. This can include one or all meetings in a recurring series.

Cancel a Meeting that Occurs Once

  1. In Calendar, click the meeting.
  2. On the Meeting tab, click Cancel.

  3. Type cancelation reason in the body of the message.
  4. Click Send Cancelation.

Note:

The meeting, including any meeting agenda, notes, and attachments, is deleted from Outlook.

Cancel One Meeting in a series

  1. In Calendar, click the meeting you want to cancel.
  2. On the Meeting Series tab, click Cancel, and then click Occurrence.

  3. Type cancelation reason in the body of the message.
  4. Click Send Cancelation.

Note:

The meeting, including any meeting agenda, notes, and attachments, is deleted from Outlook.

Cancel All Meetings in a Series Before First Meeting Occurs

It is recommended that you only cancel an entire meeting series before any meetings have occurred. Canceling a meeting series removes all meetings — past and future. This includes any meeting agenda, notes, and attachments that you or the attendees have saved with the meeting item on the calendar.

  1. In Calendar, click any meeting in the series.
  2. On the Meeting Series tab, click Cancel, and then click Series.

  3. Type cancelation reason in the body of the message.
  4. Click Send Cancelation.

Note:

The meeting, including any meeting agenda, notes, and attachments, is deleted from Outlook.

Cancel All Future Meetings in a Series

Updating the meeting series end date is the recommended way to cancel remaining meetings in a series. This process preserves instances of the meeting that have already occurred.

  1. In Calendar, click a meeting in the series and then click Edit Series, or just double-click any meeting in the series.
  2. Click Recurrence and click Custom... in the drop-down menu.

  3. For End date:, select By, and then enter a date after the last meeting in the series you want to keep.

  4. Click OK
  5. Type cancelation reason in the body of the message.
  6. Click Send Update.

Note:

Any meeting agenda, notes, and attachments that you or the attendees have saved for previous meetings in the series are retained.
