Migrating from Entourage to Outlook 2011 for Mac

This article explains how to migrate from Entourage to Outlook 2011.

Note: All steps require that you be connected to the internet the entire time.

First check to see if you have locally stored mail (email stored on your computer). Locally stored emails are seen in Entourage under the On My Computer section on the left hand side of the window beneath Inbox.

If you do have any locally archived mail it will have to be moved onto the server in order to be pulled back down onto your new Outlook install. Read below for instructions on how to do this, otherwise skip ahead to the next section.

Prior to pushing your local mail onto the server, please empty the Sent Items folder of any emails that are unneeded, and empty the Trash folder in Entourage. This will help us further down the line in keeping within space limitations.

Archived email can be moved to the server by dragging the emails from the On My Computer mailboxes to the corresponding places on the server. Inbox to Inbox, Send Items to Sent Items.


Note: This process can take quite some time depending on the amount of mail stored locally. Depending on the how many folders you have stored locally the upload will look like it stops and starts, please be patient. Do NOT quit Entourage or turn off your computer during this process. Once the upload is completed please proceed below.

If you do not have locally stored email

  1. Quit Entourage and all other Office programs.
  2. Click on Finder and enter the Documents folder. Within this folder there will be a subfolder named Microsoft User Data.
  3. Rename this folder Microsoft User Data Old.
  4. Uninstall the current version of Microsoft Office by running the “Remove Office” tool provided by Microsoft. This tool is located in the “Additional Tools” Folder within the “Microsoft Office 2008” Folder in “Applications.”  (Applications > Microsoft Office 2008 > Additional Tools > Remove Office)


The uninstaller will search the computer for Microsoft Office installations, when prompted, select Microsoft Office 2008.


Running this will move all the files to the Office program files to the Trash. Empty the trash and remove any remaining Office icons from the Dock by dragging them off.

Load your Office 2011 install media and install Office 2011 by double clicking on the Office Installer.


Select Continue through the default menu options for the install and agreeing to the license agreement.


If the following screen is presented during installation, select Open.


The installer will eventually prompt you for an administrator password, this password would have been created when the computer was initially setup, and would be the same password that is used to do other software or hardware installs. It is NOT ALWAYS the same password you use to log into the computer.


During the installation, new icons for Office will appear on the Mac Dock.


When the installation is complete, the welcome and registration screen will open automatically. Fill in the blank areas; the only required area is the First Name textbox.


Clicking Continue will take you to the next screen. Select the options for automatic updates, and no Customer Experience program.


After clicking Continue, your copy of Office should be activated and the Update Center will automatically start.


Install all the updates until the system indicates no more are available. After the updates download, the update installer will load the same install windows as before. Click Continue and select the default options. The update installer will ask you for the same password you used during the initial installation.


Continue this process until the AutoUpdate software informs you that no more updates are available. Close Microsoft AutoUpdate.


Click the Outlook 2011 icon on the dock to open. Check the box for Make Outlook the default application for e-mail, calendar, and contacts, then click the Add Account button.


Select Exchange Account to configure your email account information.


Fill in:

  • email address:
  • user name: adlocal\CNetID
  • password: your CNetID password
  • ensure that Configure automatically is checked.
Select Add Account.


Your account will be configured and you will be given the screen below to verify your display information.You can change the Account Description and Full name text boxes to suit your needs. No other fields should be changed.


Close this window to complete the setup. Your Email, Calendar, and Contacts will download into your Outlook. Depending on the amount of email you have, it will take quite a while to download all your information. Please be patient, and do not quit Outlook during this process.
